Case Study
How UST’s Rapid Workday Deployment Approach Enabled a 3-month global rollout of HCM Talent and Advanced Compensation driving standardization and operation efficiency
OUR CLIENT
The client is a global leader in providing innovative, technology-driven products and services for the gaming, lottery, and digital entertainment industries. Serving a diverse client base that spans gaming operators, lottery organizations, and digital platforms, the company focuses on enhancing player experiences and operational efficiencies. Their comprehensive solutions include state-of-the-art gaming machines, advanced lottery systems, and interactive gaming platforms.
THE CHALLENGE
Streamlining the global merit cycle and enhancing HR functions after major divestiture
After being split off as part of a divestiture, the client needed to support its 2024 merit planning cycle within the cloud-based Workday HR and Human Capital Management (HCM) platform. The company sought updated functionalities across various HR domains, including Workday Absence, Recruiting, and Talent modules.
Additionally, the client faced a significant data conversion challenge, requiring Workday data conversion and cleansing of global employee data. This task had to be completed within a tight timeline and involved configuring complex, custom rules for bonuses and merit planning. Workday bonus and merit configuration also required extensive consultation and alignment with several country HR leaders to meet specialized configuration and security requirements. Furthermore, merging regional HR systems with Workday was essential for consolidating data and streamlining operations.
THE TRANSFORMATION
Workday HCM implementation for the gaming and lottery industry drives efficiency and HR operational excellence
UST delivered a global Workday HCM and Advanced Compensation rollout for the client, assembling a broadly proficient team of Workday-certified experts across HCM, Absence, Recruiting, Advanced Compensation, and Data Conversion. The team formulated a Workday iterative deployment approach starting with global design sessions that allowed end-users to validate functionality and data before the final build. This Agile Workday implementation methodology allowed UST to meet an aggressive three-month timeline while incorporating core Workday governance and change management activities. Strong governance was built into the project to ensure it stayed on track and to offer mitigation strategies when necessary.
As a result, the client successfully deployed the project on schedule and within budget, allowing them to start their global Workday merit cycle management program as planned. Additionally, various HCM and Compensation setup items were optimized in the customer tenant, improving processing, driving automation, and significantly enhancing the end-user experience.
The global deployment converged five regional HR systems and data stores onto the single Workday platform. This consolidation of HR systems with Workday further improved data analytics and reporting capabilities while streamlining operations and lowering ongoing operating costs.
